How to Start a Cyber Café Business In Kenya

Kenya is making big paces in the right direction. The masses are hungry for information, but resource centers are inadequate. Here is where you can come in. Opening a cyber café is among the brightest business ideas you can think of in 2017.  Nowadays, information can be accessed through a Smartphone. In fact, Kenya leads with mobile penetration. Almost all adults in Kenya have phones with around 40% owning a Smartphone. What does this tell you? There is an appetite for information which produces an opportunity that you can tap in.

Opening up a cyber café can cost between Kes 100,000 – 200,000 depending on your plan and budget. You can start a cyber café with as little as five computers and grow to 20 computers, or even another branch. If you have a strategic (by strategic I mean a good place with less or no competition at all) place for the cyber, you can make as little as Kes 2,000 on a bad day and as much as 5,000 – 10,000 on a good day.  Apart from offering internet access, you will also be offering other services like photocopy, lamination, binding, photography, printing, typesetting, and movies.

Budget

Your business will be running on a recurring budget of 30% – 40% of the total income. Below is a list of things that will be featuring on your monthly budget:

What You Need To Start a Cyber Café In Kenya

Budget is the limit that determines the size of a cyber café to start. If you have around Kes 150,000 in savings, then you are in the safe zone. Some people seek financing from money lending institutions while others approach friends to help out in raising enough cash for the start-up. Whichever manner you come up with your financing, it comes down to 2 questions:

Will the venture you are investing in yield back returns? And how long will it take to get back the money you invested in the venture?

If you have a doubt about the answers to the above questions, then do not dare take a loan to start this business.

Once you have your finances in order, it is time to start the project. Below is a list of essentials necessary to starting a cyber café.

Location

Before anything else, you should identify a location for the intended business. 2 types of places do well for this kind of business:

A large residential area with no such services availableA busy business area

Do not try and set up a cyber café if your location doesn’t meet the above or you will be risking ROI* (Return on investment). Make sure that the location has minimal electricity blackouts since 98% of your business will be operating on electricity. The rent should be fair too. Judge space by the number of computers you intend to install in the room. If you are not sure about space, get a carpenter to make measurements. Do not plan on squeezing your clients together. People will shun away if your cyber is not well spaced, lacks good ventilation, or has continuous problems e.g. power-outs or slow internet. Accessibility should not be much of an issue since clients will always find you for your services but if you land yourself a location next to the road, the better.

Computers and Printers

Here is where many people get it wrong. The quality of your computer matters a lot. Many people who venture into cyber café business want to start on second-hand computers.

A Piece of advice: Second-hand computers paint a negative picture from appearance rather than performance. Many people will assume that they are slow, outdated, or unpleasant using.

If you can, purchase brand new computers but if you can’t, get refurbished ones. If you have to get used ones, at least, ensure that they have a nice look, and please buy new Mouse and Keyboards. Avoid monitors with a hatchback for they consume electricity like hell.

I recommend HP computers for their durability and performance. They are ideal for running for long hours without developing any problems, and I guarantee you they will last long. Buy a blower o keep them clean.

The best Printer to use for any cyber café is the Epson PX660. It is a heavy duty machine, though looks small, but will serve you well. Apart from printing, the machine can also photocopy and scan.

You can buy a Ricoh photocopier.

Internet

What makes a cyber café a magnet is its internet speed. Clients hate a dragging internet connection, and they find it unfair that your café’s internet is a snail, and you have a timer ticking on the screens. You need to be very careful about the kind of internet service provider you go for. Here is a list of reliable internet providers in Kenya:

Kenya Data NetworkSafaricomAirtelOrangeAccessKenya

4. Furniture

This is in accordance with your budget. You can consult with the carpenter you plan to give the job  on the price.

5. Licensing

Obtaining a business permit for your online business costs Kshs 10,000 – 12,000 per year.  A license can be obtained at the City Hall or online for those in counties that have an online application.

If you find this article informative, kindly share with others who can benefit from its content.

How much to charge?

You need to be careful not to overcharge or overcharge as well.  Here is what to charge for your services. Visit a cyber cafe closest to the area you plan to start yours and observe charges of their services.

Apart from all things that need financing, you need to invest in yourself or the person who will be in charge of managing the business. Attitude, communication, and good customer relation skills are essential to running a successful cyber cafe business.

HOW TO SET UP AN INTERNET CYBER

How to Set up an Internet Cafe

Co-authored by wikiHow Staff|Reader-Approved

As the popularity of using computers for everything continues to increase, people without their own computers, business travelers and those on vacation need to use computers more and more. An Internet café may be a great opportunity for you to combine your passions and turn your skills into earning money in an enjoyable and profitable way.

Method One of Six:
Planning Your Internet Café

1. Formulate an idea of how you want to run your Internet café.Write down the different amenities and services you want to offer and the audience you wish to cater to. Visit other Internet cafés in your area and in other cities to help form your ideas.Speak with the owners of other Internet cafés and ask about the advantages and disadvantages of this type of business.

2. Research the feasibility of your plan. Investigate the area in which you hope to open your café. Look specifically at the demand for an Internet café and competitors in the area. Make a rough estimate of how much money you will require as an initial investment for computer equipment, furniture, software and amenities. You can find prices for equipment, furniture and software on the Internet, in catalogues or in office supply stores.Do not choose an area where residents have a high income level, as chances are people have their own computers at home. You also do not want to locate near a library where people can use computers for free.

3. Create a comprehensive business plan. Enumerate every detail for your Internet café from computers that you will need to purchase to long-term operational costs. Incorporate the results from your previous market research and explain how your café will stay profitable over time. Your business plan should include the following elements:Your business concept: The focus here is on describing your business and the market for your café.Market research: Market research is critical, as it describes the nature of the market you are entering into. Identify who your major competitors are, who your target market is, and the preferences and needs of your target market.A marketing plan: This should describe how you plan on addressing the needs of your market, how you will communicate with customers, and how you will advertise your café.An operations plan: This will describe your operations on a day to day basis. It would include, for example, a timeline, hours the café will be open, and the people and equipment required.A financial plan: This would outline how you will finance your business, what your expected costs are, and five-year projections as to your revenue.Make sure to make your business plan clear and understandable and be able to explain it to anyone, especially those who do not know the technical jargon.

Method 1 Quiz

As part of a business plan, what does an operations plan cover?

The overall concept of your business.

Your target market and competitors.

How you'll advertise and communicate with your customers.

How you'll run your café on a day-to-day basis.

Your expected costs and projected revenue.

Method Two of Six:
Finding Investment Capital and a Location

1. Estimate how much start-up capital you'll need. Using your financial plan, determine your projected annual expenses and gross income. You'll need to have enough capital to cover both your start-up and operating expenses. If you do not, you will need to take out a loan.Operating expenses include licenses, permits, insurance, rent or mortgage, a security system, employees' salaries, computer equipment and software, and professional services such as an accountant or bookkeeper. You can lease equipment or purchase used equipment to save money on operating costs.

2. Look for investment money. This could be from your own savings, an investment partner, or a bank. Other entrepreneurs have used a line of credit with their bank, a home equity loan, a credit card or micro lending.

3. Contact the SBA regarding an SBA guaranteed small business loan. You would then apply for the SBA loan at a local bank or credit union. This type of loan guarantees repayment by the SBA if you default.

4. Consider a home equity loan.Find a bank who will give you a home equity loan or home equity line of credit. You would be using your own home as collateral. Make sure you can pay back this loan or you risk losing your home. You will also have to have a credit score in the high 600s to take out this type of loan.

5. Consider micro lending. Internet micro lending services (also called peer to peer lending) help borrowers find lenders for relatively small loans, usually under $35,000. Research these sites and familiarize yourself with all of the rules and regulations in order to avoid misunderstandings later.Popular micro lending sites include Kiva, Prosper and Lending Club.

Method 2 Quiz

If you don't have enough capital to cover both your start-up and operating expenses, what should you do?

Wait to start your business until you have the capital.

Take out a loan.

Plan on only covering the start-up expenses.

Method Three of Six:
Finding a Good Location and Choosing a Name

1. Find a suitable location for your café. You will want a place that is likely to attract stable as well as casual customers. Locating near a school or college may attract younger customers, or if you locate near other food cafés or small shops you might be able to catch pedestrians in the area. It could also be advantageous to locate near large hotels where many business travelers stay.

2. Work with a commercial real estate agent. An agent experienced in commercial businesses will be able to show you properties that might meet your needs and are available for lease within your budget. You could also contact the commercial real estate development company that owns a specific property that interests you.A good alternative would be to take over an existing Internet café that has a loyal client base. A commercial real estate broker will know about these opportunities as well.

3. Conduct research on your potential business location.Search public records of how the location was used previously and statistical data such as the average income in the area. Find out if there are competitors and similar ventures nearby. When you find a potential location, observe the area for a few hours and analyze the foot traffic in the neighborhood. Is it near public transportation or highways? Is there enough parking? You will want to also analyze the demographics of the area. Does the income level match the type of clientele you hope to attract? Your local librarian or commercial real estate broker can help provide this information.Once you find a location you will need to purchase insurance policies for general liability and fire insurance.

4. Choose a name for your business. Establish a unique identifier that resonates with customers and sets you apart from other businesses. Search databases such as Hoovers, the Better Business Bureau and the Web to find information about other business names so you don't choose one that is already taken. You can refer to Name Your Business for tips on how to choose a business name.

Method 3 Quiz

Why should you search business databases before choosing a name for your internet café?

To market-test potential names.

To make sure the name you want isn't already taken.

To determine if the name you want is a good fit for your location.

All of the above.

Method Four of Six:
Obtaining the Necessary Licenses and Permits

1. Register your business name with your state government, if necessary. A DBA (Doing Business As) is needed whenever you are doing business under a name other than your own. Registering a DBA name is typically done through your state government or county clerk's office.

2. Apply for a sales tax permit. This can be obtained from your state Department of Taxation and Finance. You will need to keep careful records on which items were sold with the amount paid, and how much in sales tax was collected.

3. Obtain a federal tax ID number. You will need to file a separate tax return for your business and therefore will need to have a federal tax ID number. You can find the form online at www.irs.gov.

4. Obtain building permits. Check with your local municipality for the types of permits required. Get a legal adviser if you don't know how to fill out the forms—better to pay small costs up front and have peace of mind than to have expensive complications down the road.

Method Five of Six:
Setting Up the Hardware and Software

1. Choose an Internet service provider (ISP). Your café's Internet connection will most likely need a higher grade, more robust connection than a normal household set up. Negotiate with the ISP as they may offer special deals for businesses, especially Internet cafés. (You also might want to determine if you need a "static IP" address for Local Area Network (LAN) services and or programs.)A static IP address is for one customer only. A dynamic IP address will provide a different IP address each time you log on to your computer. Having a dynamic IP address means that you are sharing an IP address with several other customers.

2. Design the layout to fit the space. If possible, use a professional designer. Work with the designer so that they understand the special requirements of an Internet café such as keeping food and beverage preparation and consumption from damaging computer equipment. Include an electrician in the design process to ensure that the infrastructure will be able to handle the load of all the electronic devices in your café.

3. Purchase all the necessary equipment. Following your business plan, purchase computers, network cable, routers, printers, crimping tools and RJ-45 jacks. If you are including amenities also purchase any food and beverage preparation items such as plates, cups, and microwave ovens.

4. Set up your Internet café. This includes all the construction and renovations, electrical work, network setup, computer and software installation, and a security system. Add any other specialty services such as an area for food and drink preparation.

5. Manage your software effectively. Use free software alternatives such as Linux as an alternative to Microsoft Windows or the Mac OS and the OpenOffice.org suite as an alternative to the Microsoft Office suite. Consider using live CDs without hard disk drives (dumb terminals) in the computers to reduce maintenance.Install a firewall on your router if it does not already have one to protect your network from worms, viruses and other outside attacks.Find a software solution that will protect your computers from viruses such as virus protection software or live CDs.

Method Six of Six:
Preparing to Open the Business

1. Develop a plan for staffing your café. Consider hours of operation, wages and applicable overtime and anti-discrimination laws. Research state and federal labor laws on the Internet, through your local Small Business Administration or at your local library.

2. Interview and hire employees.Place ads online at such sites as Craig's List, Indeed and Monster.com. Choose those who not only are technically savvy and have good references, but also friendly and easy to work with. Make sure to run a background check on each potential employee before hiring. Your local police department can run the background checks for you.

3. Promote your Internet café in the neighborhood through fliers, advertisements in newspapers, word of mouth and especially social media. You will need to develop a website and can use templates you can find online for free, or use a service like WordPress that starts at about $70. Develop a Facebook page for your business and update it frequently.Consider having a grand opening with door prizes or discount coupons. Advertise the opening in newspapers, radio stations, Facebook, and on your website. You could also offer local entertainment and food.

4. Listen to and incorporate feedback from your customers. They may want more bandwidth, or may complain about the amount of performance-degrading spyware. You can contract with an expert to solve problems, if you don't already have a suitable administrator.

5. Evaluate opportunities to expand your business. This could include color printing and copying or hosting computer game competitions. Get customer feedback as to what services and amenities they would like to have in order to determine the demand in your area.

Method 6 Quiz

It's important to hire employees who...

Have good references.

Are good with computers.

Have good people skills.

All of the above.

Community Q&A

Question

If I want to make my own internet cafe, what do I need to start and how much will it cost?

Community Answer

You need a software to run the internet user time limit, a number of PCs, a central internet server, a router, network cables, an Internet Service Provider (ISP), the chairs, workstation tables, a suitable place to do the business, legal licensing and of course labor. For the money, it depends on which country are you doing that business in.

Question

What training should I provide for staff of an internet cafe?

Community Answer

There are two important components here: the café side and the internet side. Since the internet side is pretty much set-up-and-go, the majority of your staff's time will be spent making drinks and snacks and serving customers. You should make sure they can run the point of sale system, can follow the directions to make the drinks and pastries you're serving, and can deal with customers. For the internet side, a basic troubleshooting knowledge will be fine. Make sure the staff know how to turn on and use the computers and who to call if there is something they can't fix. Most 20-somethings will already have some tech skills.

Question

I have $500,000 that I got from my parent's death last year. How can I use this money to start a business?

Community Answer

It depends on the business you want to start, but wikiHow has lots of articles that can help you. For more general advice, you could check out articles like How to Start a Small Business and How to Start a Company. If there's something more specific you want to do, you could find articles that are targeted towards one particular business, like How to Start a Small Restaurant or Coffee Shop or How to Open a Bakery.

Internet cafes are a dying trend. Wifi is so easily accessible in many places that the demand will continue to wane.

HOW TO SET UP A CYBER CAFE BUSINESS

How to set up a Cyber cafe business

Cyber cafes are been more common recently all over the country from upcountry to even towns and big cities. This is because, they provide services such as Internet browsing, printing documents, scanning removable devices, binding, photocopying materials and many more services cheaply and from this, they have attracted many customers hence leading to their grooving and thriving countrywide.

Setting up of a Cyber café require few factors to be put in consideration, more precisely about the Internet connection and is discussed below;

To begin with, a Cyber café require a stable Internet connection so as to avoid embarrassment to your customers.

Nowadays, acquiring an Internet connection strategy is very easy due to the advancement in technology. There are cheap routers available in the market. Choose one that best suits your needs and an Internet Service Provider (ISP) that has a strong network in your locality and with enough boosters around you for network stability assurance. These Internet Service Providers include Safaricom, Orange Telkom or Airtel.
Your computers or laptops should also be arraigned in a specific order or structures know as Network topology to facilitate easy flow of data packets from the main source (router) to the individual socket. There are various network topologies that they can be alignment and include Bus, serial, closed loop and hierarchical topologies. Every network topology has its own advantage over others, so it will be wise if you choose the best and manageable to your set up.

Secondly, if you intend to provide printing and photocopying services, try to choose a printing machine that has both integrated, that is, it can print and at the same time photocopy, and this will be cost-effective and save you maintenance cost since the cost of maintaining one item will be far off that of maintaining two. Again, the printing papers you

use will definitely determine the number of customers you receive. If you use the poor quality, then expect very few customers looking for your printing service. Therefore, try to use the best quality but at the same time economize.

Thirdly, a Cyber café require furniture to place the machines and all accessories. Use tables that are wide and strong enough to accommodate all the computer parts such as the mouse, keyboards or the external speakers. You can cut off this cost of buying tables by using laptops because they do not have many accessories and therefore will require cheap tables. Chairs used should be high enough relative to the tables having a straight back, to ensure the customers sit comfortably when using the computers.

Fourthly, If your services also include game play, you will require a computer or two with some special specifications. Choose a computer/laptop which is strong and can run for longer than the rest in the Cyber café. This will prevent it from crushing because; most video games require a strong system. Good specifications of a gaming computer may include 500 GB of Hard disk, 2.67 GHZ processor and 2GB of RAM. With this, you can play games 24 hours with no problem or discontinuations hence attracting clients.

Lastly, you will require a good location for your business. A specific location that is highly secured to guarantee you safety of your property since, there is no importance of setting up this and the next day everything is stolen. Secondly, choose somewhere with a stable power supply because computers are adversely affected by unstable power supply, power surges and brownout. It should also be cool and with controlled humidity for the full operation of the computers preventing damage.

In conclusion, following these simple steps in your setting up of this kind of business will yield fruits. In remembrance, use wisely the capital you have for any purchase you make and do not spend lavishly. It is better you buy a cheap machine which is operational with low maintenance cost than an expensive machine which will make you spend cash even before you use it leading to losses instead of the profits.

TAKE THE STRESS OUT OF DEADLINES

Take the Stress Out of Deadlines

Even the word is foreboding. Deadline. Break it down: Dead. Line. It conjures up all sorts of bad imagery—as though we're queuing up for our own demise. Is it any wonder we stress over deadlines?

How to Get Deadlines Under Control

Let's look first at the cause of deadline stress. It's being late. No one wants a project to run behind and risk missing the deadline. It means cramming more effort into less and less remaining time. It means people get upset. It causes people to lose sleep. It's just no fun.

The key is to a follow a simple three-step formula. It may take a little time to get used to, but stick with it. Develop it as part of your daily practice and you'll take a lot of stress out of your life.

Three Simple Steps to Getting Any Project Done on Time

Here are the three steps the world's most successful people use to complete a project of any size on time.

Identify the biggest, most important tasks first. Begin by breaking each of them into smaller tasks. Do this until each task can be accomplished in no more than two days. Break up big, vague tasks like "update the website" into a larger number of more specific tasks. This will enable you to estimate, with much greater accuracy, the time you need to complete the entire project.Assign tasks and chart the schedule. Make a Gantt chart—a table showing each task, the person who will do it, the start date and how long it will take. Be realistic about the work load of each person. Spread the tasks out so that a new one doesn't begin until the previous one is complete. If the work of one person has to be complete before a task performed by someone else can start, build this in, too. Be sure to take holidays and weekends into account.Estimate the completion date and monitor progress. The end date of your last task tells you when your project will be complete. Update your chart with the actual dates of completion for each task as the project progresses. This will tell you, at a glance, whether your project is on schedule. If it's not, you will know precisely how far it is behind so you can make better management decisions.
